We are a home care agency that specializes in Adult foster care programs, providing services to Elderly and Disabled citizens in Massachusetts.

Job Type: Part-Time

Job Description
As an OFFICE CORDINATOR, you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues and will be an integral part of the company?s workforce. A customer-oriented approach is essential. The goal is to make members, caregivers and visitors feel comfortable and valued while on our premises.

Reporting Authority: The office Coordinator reports to the Office Manager directly and to the Program Director generally.

Responsibilities
Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
Greet and welcome members, caregivers and visitors
Answer questions
Ability to deal with complaints and give accurate information.
Answer all incoming calls and redirect them or keep messages
Receive letters, packages etc. and distribute them
Prepare outgoing mail by drafting correspondence, securing parcels etc.
Check, sort and forward emails
Monitor office supplies and place orders when necessary
Keep and update medical records and files
Monitor office expenses and costs
Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
Take up other duties as assigned (travel arrangements, schedules etc.)
Ensure caregiver logs turned into the office are accurately completed before handing them over to the Registered Nurse for review.
Follow-up with members and caregivers to ensure they are have what they need and file any concerns accordingly.
Assist the Registered Nurses, Care managers and Office managers with scheduling orientations and meetings
Prepare all packets needed for each phase of every program run by GIA Home Care Services LLC.
Assist new caregivers and alternate caregivers in navigating the application process.
Keep track of all faxes.
All other clerical duties as assigned.
Update the electronic health record with any changes in member or caregiver information.

Requirements
Proven experience as front desk representative, agent or relevant position
Knowledge of office management and basic bookkeeping
Proficient in English and Spanish (oral and written)
Excellent knowledge of MS Office (especially Excel and Word)
Problem-solving skills
High School diploma is a must, additional qualifications will be a plus
Experience in customer service will be a plus
Knowledge of basic bookkeeping principles and office management systems and procedures
Working knowledge of office equipment
Excellent communication and interpersonal skills
Good organizational skills with the ability to prioritize and multi-task
Reliable with patience and professionalism
